Privacy Policy

1. Data Controller

BotLance is operated by NovaSahar Digital, a sole proprietorship owned by Noor Hussain. NovaSahar Digital is the data controller responsible for determining the purposes and means of processing personal data.

2. Information We Collect

We may collect account information you provide, such as your name, email address, and login information; chatbot and knowledge data you add, such as services, FAQs, files, website content, and business information; conversations and messages processed through your connected channels; information from third-party accounts and integrations you choose to connect; billing and subscription information; support communications; and usage and technical information such as IP address, device information, and interactions with the Service.

3. How We Use Information

We use information to provide, operate, secure, and improve the BotLance Service; configure and operate AI assistants and workflows; generate responses and drafts; process conversations, messages, leads, and other content requested by users; operate connected integrations; process subscriptions and payments; provide customer support; prevent fraud and abuse; and comply with legal obligations.

We do not use customer content to train generalized artificial intelligence or machine learning models.

4. Data Storage & Security

We use appropriate technical and organizational measures designed to protect personal data against unauthorized access, alteration, disclosure, or destruction. Data is stored using infrastructure configured for the BotLance Service, with access restricted to authorized systems and personnel where necessary to operate and support the Service.

5. AI Processing

BotLance uses artificial intelligence to provide conversational assistance, automation, workflow execution, content generation, summaries, drafts, and other AI-powered features requested by users.

Depending on the features and AI provider selected or configured by the user, relevant user inputs, business knowledge, workflow information, conversation content, and connected service data may be processed by supported AI providers solely to provide the requested functionality.

BotLance may support multiple AI providers, including OpenAI, Google, Anthropic, xAI, and other providers supported by the platform. The specific provider used may depend on the model or configuration selected by the user.

BotLance does not use customer conversations, connected account data, or other customer content to develop, improve, or train generalized AI or machine learning models.

6. Meta / Facebook Data

When a user connects a Facebook account, Facebook Page, or Messenger integration to BotLance, BotLance may receive information made available through the applicable Meta APIs and permissions authorized by the user.

This may include Facebook account information, Page information, Page identifiers, Page access credentials or tokens, and Messenger messages or related information required to operate the connected Page.

BotLance uses this information only to provide the Meta functionality explicitly enabled by the user, including connecting and managing a Facebook Page, receiving Messenger messages, displaying conversations in the BotLance Inbox, generating AI responses where enabled, and sending authorized responses through the connected Page.

BotLance does not sell, rent, or monetize Meta Platform Data. Meta Platform Data is not used for advertising, unrelated profiling, or generalized AI model training.

Where AI processing is explicitly enabled by the user, relevant message or conversation content may be processed by the AI provider selected by the user solely to generate the requested response or perform the requested AI functionality.

BotLance's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

BotLance supports integrations with third-party services, including but not limited to Google Workspace services, messaging platforms, social media platforms, CRM systems, calendar providers, email providers, cloud storage services, and other supported integrations. When you connect a third-party account, BotLance requests only the minimum permissions necessary to provide the functionality you choose to enable. Data obtained through connected services is used solely to provide the features you request, such as automation, synchronization, messaging, scheduling, workflow execution, document management, and other platform functionality. 

BotLance does not sell, rent, or monetize data obtained from connected services. BotLance does not transfer or expose Google Workspace data to any third-party artificial intelligence or machine learning model, and does not use Google Workspace data to develop, improve, or train generalized AI or machine learning models. Connected account data is processed only to provide the functionality explicitly requested by the user and is never used for unrelated purposes. Users may disconnect connected accounts at any time, after which BotLance will no longer access those accounts except where retention is required for legal, security, billing, or operational purposes.

8. YouTube Integration

When a user chooses to connect their YouTube account to BotLance, the platform requests only the Google OAuth permissions required to provide the YouTube automation features that the user explicitly enables.

BotLance uses the YouTube Data API to:

• Read YouTube channel and comment information required to detect new comments.
• Monitor new comments based on the user's configured settings (such as monitoring interval and selected videos).
• Generate an AI response according to the user's configured AI instructions and knowledge base.
• Publish a single authorized reply to a qualifying YouTube comment on behalf of the authenticated user.

BotLance does not delete videos, modify channel settings, manage playlists, upload videos, or perform any other YouTube account management activities. Access is used solely to provide the YouTube comment automation features explicitly enabled by the user.

Google user data is never sold, rented, or used to train generalized AI or machine learning models. Data obtained through Google APIs is processed only to provide the functionality requested by the user and in accordance with the Google API Services User Data Policy, including the Limited Use requirements.

9. Sharing & Payment Processing

We do not sell your personal data. We share data only with the recipients needed to run the platform, including: service providers and subprocessors (such as hosting, analytics, and support tooling); and Paddle.com, our payment processor and Merchant of Record, who handles the sale of our products, subscription management, payments, tax compliance, and invoicing. We may also disclose data to professional advisers or authorities where required by law.

9. Data Retention

We keep personal data for as long as needed to provide the Service and meet our legal obligations. When data is no longer needed, we delete or anonymise it.

10. Your Rights

You may access, update, or request deletion of your data, and depending on your location may have additional rights such as restriction, portability, objection, and withdrawal of consent. Contact us and we will assist with any privacy request.
