Introduction
Creating an AI agent in BotLance is more than simply giving it a name. Every AI agent is designed to represent your business, communicate with your customers, and deliver accurate, helpful responses based on the information and instructions you provide. Before your AI is ready to answer questions, it's important to configure its personality, appearance, communication style, and overall behavior.
Everything related to your AI agent is managed from the AI Agent Studio. This is where you'll customize how your chatbot looks, what customers see when they open the chat widget, how the AI responds, and which advanced capabilities are available. The AI Agent Studio is divided into four main tabs—Content, Appearance, AI, and Advanced—each focusing on a different part of your AI assistant.
By the time you've finished this guide, your AI agent will be fully configured and ready for the next step: connecting a Knowledge Base and training it with your business information.
Creating Your AI Agent
To create a new AI agent, navigate to the AI Agents section of your workspace and click Create AI Agent. Once your agent has been created, you'll be taken directly to the AI Agent Studio, where all configuration takes place.
Unlike traditional chatbot platforms that require multiple setup pages, BotLance keeps everything in one place. As you move through each tab, you'll gradually transform a blank AI agent into a complete virtual assistant that's ready to communicate with your customers.
Content
The Content tab controls everything your visitors see when they first open the chat widget. These settings create the first impression of your AI assistant and help guide customers toward the actions you want them to take.
The Welcome Message is the first message displayed when someone opens the chat. It should immediately let visitors know they're in the right place and encourage them to start a conversation. A friendly and welcoming message helps establish trust from the very beginning.
Below the welcome message, you can add a short Description that briefly explains what your AI assistant can help with. This could include answering questions, providing product information, helping customers book appointments, or offering support.
To make conversations easier to start, you can configure Suggested Questions. These appear as clickable prompts that encourage visitors to ask common questions without typing. Suggested questions are especially useful for first-time visitors who may not know where to begin.
The Quick Actions section lets you add one-tap buttons for frequently requested tasks, such as requesting a free estimate, viewing your services, checking pricing, finding service areas, booking a consultation, contacting your team, or opening a list of frequently asked questions. These buttons reduce friction and help customers reach their goals much faster.
You can also define a Fallback Message, which is shown whenever the AI cannot confidently understand a customer's request. A clear fallback message encourages the visitor to rephrase their question instead of ending the conversation.
If your AI is configured to transfer conversations to a human, the Human Handoff Message lets customers know that someone from your team will continue assisting them shortly. This provides reassurance and creates a smoother transition between AI and human support.
Finally, you can display an optional Disclaimer the first time someone opens the chat widget. This is particularly useful for industries such as healthcare, finance, or legal services, where customers should understand that AI responses are provided for informational purposes.
Appearance
The Appearance tab allows you to customize the visual identity of your AI assistant so it feels like a natural extension of your brand. A consistent design helps build trust and creates a more professional experience for your visitors.
You can choose between a light or dark theme, select your brand color, customize the chatbot's name, and decide where the widget appears on your website. Additional options allow you to adjust the font size, border radius, and overall styling of the chat window to better match your site's design.
Your AI assistant can also display a custom avatar, making conversations feel more personal and recognizable. The floating launcher button can be customized with different icons, shapes, labels, and animations, allowing you to create a style that fits your brand while encouraging visitors to start a conversation.
The Appearance tab also lets you decide whether the floating button should open the AI chat, redirect visitors to WhatsApp, or display both options together. Finally, you can customize the footer branding by displaying your own text and an optional link at the bottom of the chat widget.
These visual settings don't affect how the AI thinks, but they play an important role in creating a polished, professional experience that feels consistent with the rest of your website.
AI
The AI tab is where you define how your assistant thinks, communicates, and responds. While the previous tabs focused on presentation, this section controls the intelligence behind every conversation.
Start by selecting your preferred AI Provider and model. Different models offer different balances between speed, cost, and response quality, allowing you to choose the one that best fits your business needs.
You can then configure the assistant's language, response style, and response format to ensure every conversation matches your brand's tone of voice. Whether you want professional, friendly, casual, or highly technical responses, these settings help shape the overall customer experience.
The Custom Language Instructions allow your AI to adapt automatically to the language used by the customer while maintaining a consistent communication style. This makes it possible to serve multilingual audiences without creating separate AI agents for each language.
One of the most important settings in this section is the AI Instructions field. These instructions define your assistant's identity, responsibilities, communication style, business goals, and limitations. Think of this as the AI's operating manual. Well-written instructions help ensure your assistant stays on brand, answers consistently, and knows when to use Actions or hand conversations over to a human.
You can also attach references to knowledge bases, workflows, actions, or variables, giving your AI direct access to the information it needs during conversations. Additional settings such as Boundaries & Limitations, Fallback Response, and AI Actions provide even greater control over how your assistant behaves in different situations.
Advanced
The Advanced tab contains features that extend your AI assistant beyond traditional text conversations. Depending on your workspace and available features, this section includes options such as Voice Replies and the Voice AI Agent, allowing your assistant to communicate naturally using speech instead of text.
These features are ideal for businesses that want to create more interactive customer experiences or support voice-based communication channels. As BotLance continues to grow, additional advanced capabilities may also become available in this section, giving you even greater flexibility when building intelligent AI assistants.
